Rebuild Data Files

Rebuild Data Files has been included to help you resolve some simple problems within Elite Payroll, such as data corruption caused by a power failure or a hard drive with some bad sectors on it.

Some options have the potential to irreversibly damage your data file. Technical support will advise of which options to use, and make sure that you have explored all other data recover options first.

Always back up your company file before you rebuild!
The Rebuild utility can fix your data file, but in some cases it may make it even worse, so please ensure you have a working backup of the company before running this utility.

To rebuild the company file:

1 Make sure that you have explored all other avenues to resolve the problem, and contact Technical Support before you rebuild your data files.

2 Backup your company file. Always make sure that you have a backup of your data file that hasn't been run through the rebuild process. If your data is so corrupt that the rebuild process cannot fix it, we may be able to recover most of your data from a clean backup.

3 From the File menu, choose Rebuild Data Files.

4 Click Rebuild Data Files. You will be prompted to backup your company file. Make sure you do so, on a different set of floppy disks to the backup you made in Step 2.

5 Once you have backed up your data, the File Maintenance window will appear. You should only select any of the following four options if Elite Payroll Technical Support has advised you to.

image\dash.gif Rebuild Record Positions and Keys – Every record in the database will be checked (pays, allowances, etc) to ensure that each record is associated correctly. If a record has an invalid key or record position Rebuild will attempt to change the key or record position to the correct value.

 IMPORTANT – You should never use this option unless Elite Payroll Technical Support has asked you to. Using this option on a badly corrupted data file is not recommended. You may cause irreversible damage to the data file that even our Data Recovery Department won't be able to fix.

image\dash.gif Fix Invalid Employee Records – Every employee record will be checked to ensure that it isn't corrupt. If the record is corrupt, Rebuild will attempt to fix the employee record. This may or may not work, depending on the type of data corruption you have.

image\dash.gif Fix Invalid Pay Records – This should only be used when file problems have occurred when upgrading from Elite Payroll version 3 or earlier version.

image\dash.gif Fix or Remove Invalid Other Records – All records (apart from employee records) will be checked to ensure they are correct. If possible, Rebuild will attempt to correct corrupt records. If it can't fix them they will be removed from the file.

 IMPORTANT Always check your file after this has been run to find out what records, if any, have been removed from your data file.

The following options can be run without risk if your data has become corrupted..

image\dash.gif Rebuild Super – This option recalculates superannuation, and removes any invalid (blank) superannuation records.

image\dash.gif Recalculate Super – This option recalculates superannuation for all pays.

image\dash.gif Recalculate YTD Figures – Rebuild will go through all the pays for the current financial year and recalculate the year-to-date figures for the current financial year.

image\dash.gif Recalculate Leave – Rebuild will go through every pay and employee and recalculate the amount of leave accrued.

image\dash.gif Recalculate Banking – Rebuild will go through every employee and pay and adjust the banking details to match the employee record.

image\dash.gif Recalculate Pay Allowances – Recalculates allowances for all pays.

7 Click OK to start the rebuild process. When the rebuild has finished, you'll be returned to the List Employees window.

8 You should now check the company details, employee details and especially pays to ensure that all records are correct, because the rebuild process is only as good as the data it has to work with. In cases of severe corruption, you may find that some employees and pays are mixed up.
