Filtering a Report

Filtering is a powerful report customising tool that you can use to specify exactly what appears on a report. You can filter by date, by activity, by employee, or by any other criteria that you specify.

There are two levels of filtering:

1 Basic Filter - Basic filtering is performed by selecting from the Dates, From , To , and Custom drop-down lists under the Report Writer toolbar. In order to change the From or To dates, you must first select Custom from the Dates drop-down list.

2 Advanced Filter - To filter a report in a more advanced way, use the Report Filter window. To open the Report Filter window, click on the Filter icon, or choose Set Filter Options from the activities menu.

Setting a Basic Filter

The Edit Report window provide some simple report filters, these are located directly below the main toolbar.

The first drop-down list can be used to select what period the report is for. This can be anywhere from Today to Last Financial Year. Selecting any of the options will adjust the dates in the From and To fields. You need to select Custom to change the dates in the From and To fields.

To create a simple filter:

Click in the Dates field and select Custom. In order to change the From or To dates, you must first select Custom.

2 Click in the From field and type in the date. Or click the button to the right and use the calendar.

3 Click in the To field and type in the date. Or click the button to the right and use the calendar.

3 Select the filter from the custom drop-down list. Note the name of the custom list will change depending on the nature of the report. For example, in an Employee Details report, the custom list will be entitled Employees.

4 If you select Custom from the custom field, the Custom Report Filter will be displayed. This will allow you to set up a range of filter values.

 Example If the report was about employees it would list all the employee status items. If you wanted to list a specific employee, or a group of employees, select Custom from the Employee list. Doing so will display the Custom Report Filter window. To create a filter that shows a range of employees:

image\dash.gif Click OK. Elite Payroll will now automatically re-filter the report to display just the employee, or employees, you selected.
