If you have employees that are paid according the time they start and finish a work shift and you want to pay them using the Timesheet method you must complete this section.
Under the timesheet method, when you prepare your payroll, you only need to enter the start and finish times for each day the employee works. Elite Payroll calculates any breaks as well as the different rates (such as overtime rates) that apply between the times that you specify, based on the information entered on the Timesheet Payments tab.
On the Timesheet Payments section you need to set up the start and finish times of each shift covered by the award. For each shift, complete a separate line on the Timesheet Payments tab. It is important that you don’t forget to allow for and enter unpaid meal and rest breaks.
You will only be able to pay an employee under the timesheet method for days and hours that have been defined in the timesheet payments tab. Therefore, make sure that you define shifts covering all days that employees might work under this award. For example, if you have only defined shifts for Monday to Friday, and you then try to pay the employee for weekend work, you'll get an error message and you won't be able to save the shift details entered.
Note If you are setting up an award with timesheet details, only the first classification line of the Award Payment Details tab will be recognised. Elite Payroll will look at these details when you are paying employees under this award.
For each shift, complete a line on the Timesheet tab as follows.
1 Shift Pay Rate – Select the shift pay rate that will apply between the hours and date(s) you are going to specify. The first line is usually Normal Hours.
If you need to create a new pay rate, just type in the name and press TAB. Click Setup on the Quick-Add pop-up window to add the rate to the Pay Rates List.
You can create a pay rate called Meal Break (or something similar) to track unpaid breaks and know not to pay the employee during the meal break. See Setting up an unpaid meal break for instructions on setting up an unpaid break.
2 Shift Start and end – Select the day, or range of days, that the start and finish time should apply to. M-F can be used to tell Elite Payroll that this rate and time applies Monday through to Friday. Selecting ALL means that the rate and time apply to all days of the week.
Note When entering times you can enter them in 24-hour format. That is, to enter 5:00 PM you would type in 17:00. If you wish, you can enter the time as 5 PM. Be sure to enter the AM or PM—if you don't, Elite Payroll will assume you mean AM. Also note that you must enter the details starting from Sunday. If you don’t start the details from Sunday, you'll receive errors if you try to enter shifts over 2 days.
3 Overtime – If any overtime applies to this shift pay rate, enter the number of hours that must be worked before overtime is applicable. You also need to specify the overtime pay rate.
Example Entering 8 and selecting Time and a half tells Elite Payroll that the employee must work 8 hours before they are entitled to the overtime rate. If the starting time was 9 am and the employee didn't start till 10 am, Elite Payroll won't pay overtime until 6 pm.
Note If you have set up an unpaid meal break, only enter overtime details on the last line of the shift. For example, if you split a shift into three lines because you have entered a break, you would only enter overtime details on the last line of the shift.
Also note that the After Hours number in the overtime column includes the break period. See Setting up an unpaid break for details.
4 Repeat step 3 if there is a second overtime rate, such as double time
Note – when you enter the number of hours this time you are specify the number of hours from the Shift Start time.
Example Entering 12 and selecting Double Time tells Elite Payroll that the employee must work 12 hours before they are entitled to the second overtime rate. If the starting time was 9 am and the employee didn't start till 10 am, Elite Payroll won't pay the second overtime rate until 10 pm.
5 Super – Specify how Superannuation is calculated for this line of the timesheet. Generally, overtime isn't considered to be Ordinary Time Earnings?, and are therefore usually not subject to superannuation. Therefore, in most cases, you should select Shift.
