Pay Rates List

The Pay Rates List displays all pay rates currently available. Most of the pay rates you need are probably already included in the Pay Rates list, but you may need to add some additional rates. Some pay rates, such as Annual Leave, are system defaults and shouldn'tbe deleted. If you do so, pays and possibly leave will be incorrect. You can add, edit or delete pay rates. If you edit a pay rate you will need to ensure that you update all employees and awards that use that pay rate.

Normal Hours pay rates

The term Normal Hours pay rate has special meaning in Elite Payroll. The Normal Hours rate for an employee is the base rate of pay that other rates (such as double time) are based on. It is also used in awards in calculating leave accruals.

In most cases you can simply use the default Normal Hours pay rate, but if you require a Normal Hours pay rate with a different name or with different leave accrual setting, you can set up an additional pay rate designated as Normal Hours rate. An example of this might be where your employees are paid on some basis other than by the hour, and the term Normal Hours would cause confusion. In this case you could create a more descriptive pay rate and designate it as a Normal Hours rate.

You can set up as many Normal Hours rates as you need in the company, but each employee should only be assigned one Normal Hours pay rate.

Adding a pay rate

From the Lists menu, choose Pay Rates.

To add a Pay Rate, click Payrates>New.

3 Pay Rate – Enter a descriptive pay rate name.

4 Multiplier – Enter the multiplier, which is used to calculate the pay amount. The multiplier is used in conjunction with the employee’s Normal Hours pay rate. Elite Payroll multiplies the employee's Normal Hours pay rate by the multiplier.

 For example, for a double time pay rate, enter 2. Note that the employee’s Normal Hours rate may be either the default pay rate named Normal Hours, or a pay rate that you set up and designate to be used as a Normal Hours pay rate.

Click to select the Pay Rate options:

ž Use as Normal Hours Pay Rate – Select this option if you want this rate to be used as a normal pay rate. This means that where the program requires a normal pay rate, such as in the employee record, this rate can be used.

ž Enable Leave Accrual – If this pay rate is a leave rate, you can set the defaults for leave accrual. To set the defaults, select this option.

ž Use pay rate for Spreadsheet Entry – Select this option if you want this pay rate to appear on the spreadsheet entry window.

ž Payroll tax exempt – Select this option if Payroll Tax doesn’t apply to this Pay Rate.

If this is a leave rate, you can set the defaults for leave accrual. To set up a leave rate, click Enable Leave Accrual, and click on the Leave Accrual Details tab.

Start Accruing After – specify how long Elite Payroll should wait before it starts to accrue leave.

Example To specify that leave should only accrue after the employee has worked for 3 months, enter 3 under Number and select Months under Period.

Accrual Details – Enter how often leave should accrue and how much should accrue.

Example To accrue 3 hours leave every pay period enter 1 under Every, select Pays from Period, enter 3 under Accrue Hrs.

Click OK.

Editing a pay rate

To edit a pay rate, select the pay rate you wish to change and then click Pay Rates>Edit. Make any required changes on the Update Pay Rates window.

When you make changes to a pay rate, Elite Payroll will ask if you want to also make these changes to any employee records or awards that use the pay rate. Previous pays using the pay rate won't be affected.

Deleting a pay rate

The Delete button is disabled and you won't be able to delete it until you remove the pay rate from any employee records or a pays that use it. To delete a pay rate, select the pay rate, click Pay Rates>Delete and then click OK to confirm that you want to delete the pay rate.

Click Reports for a list of related reports.
