Setting up a Timesheet Award – Example

Timesheet awards are required if you want to pay your employees according to the times they start and finish each day. Timesheet awards aren’t the only way to pay employees, you can also use a time clock and cards. Once a week you just import the time details from the clock and process the pays. This covers the timesheet section in detail.

This example uses the sample company file to demonstrate setting up an award.

From the Lists menu, choose Awards. The Awards List is displayed.

To add an award from the Tour Guide, click Create New Award from the Company section.

Click Awards>New. The Adding a New Award window is displayed.

Complete the award details on the Standard Details and Award Payment Details tabs. To create a Timesheet award, you must also complete the TimeSheet payments tab.

Standard Details Tab

1 When creating a federal award, use the name of the award. If you are creating an award to hold information about a group of employees, enter a name that means something to you. For this example, enter the award name Bar Staff.

2 Enter the name of the department where the employees under this award would normally work. This award is for the bar staff, so the department will be Bayview Hotel. You can either select the department from the list, or just type the department name in. Elite Payroll will check to see if the department already exists, and if it doesn’t exist you'll be asked if you want to add it.

3 Select how often employees under this award will be paid. The bar employees are paid once a week. To ensure Elite Payroll pays the employees once a week we need to select the pay period Weekly.

4 Most employees are entitled to employer paid superannuation. The bar employees are entitled to SGC. To ensure the correct amount of superannuation is calculated each pay period you need to select Percentage and enter the SGC percentage of 9%

5 The employees are also entitled to annual leave and sick leave. To set up the annual leave, click in the Leave Type column and select Annual Leave.

6 In the Start Accruing After column, specify how long the employee must be employed for before leave starts accruing. In this case the probation period is three months, so enter 3 in the Number column, and select Months from the Period drop-down list.

7 Finally, you need to enter how much leave should accrue. Because these employees are monthly we have specified that they accrue 13 hours each pay period, no matter how many hours they work. Enter 13 in the Accrue Hours column.

This process is repeated for each type of leave the employees are entitled to. Here’s what the window looks like after all of the details have been entered.

Award Payment Details Tab

1 The rates of pay need to specified for the employees under the award. When you create employees these rates of pay will be copied to the employee. Each rate of pay needs to be assigned to a classification, or level, within the award. The sales department has 3 levels of remuneration, the first level being called Level 1. Enter Level 1 in the Classification column.

2 The type of remuneration your employees receive needs to be selected. The bar staff are paid hourly. Select Hourly from the Type column.

Now, you need to specify the rates of pay for employees under the award. When you create employees these rates of pay will be copied to the employee. Each rate of pay needs to be assigned to a classification, or level, within the award. The bar staff award has 3 levels of remuneration. We’ve named each level after the different bars in the hotel. With the rates of pay set up you need to specify the times that employees start and finish throughout the day.

4 You now need to specify how much remuneration employees under this award receive. For each classification, or level, in an award you can specify different remuneration amounts for permanent, part-time and casual staff. Under Permanent, enter $12 and under Part-time enter $8.

Timesheet Payments Tab

Setup the shift pay details. When specifying the start and finish times during the day, don’t forget to allow for rest breaks. The bar staff award allows for 3 meal breaks during the day. To have Elite Payroll automatically calculate the correct pay for each day we need to:

image\dash.gif Select the default shift pay rate. In this case we are using Normal Hours .

image\dash.gif Specify the day and time the shift starts. In our example the shift starts at 12am every day of the week.

image\dash.gif Enter the day and time the shift finishes. Our first shift finishes at 10am every day of the week.

image\dash.gif Select if superannuation is due on the shift pay rate.

image\dash.gif Specify the first meal break to start every day at 10am and to finish at 10:45am. In our example, we need to create a pay rate called Meal Break This enables you to track unpaid breaks and know not to pay the employee during the meal break.  This process is repeated until all the shift periods and meal breaks have been entered. Our bar staff award covers the full 24 hours in a day.

6 Paying the timesheet employees is now easy. All you have to do is enter the day and time they started working along with the day and time they finished working. Our bar staff could start at 9pm on Friday and finish at 6am on Saturday. Elite Payroll will calculate the amount of pay for that shift, excluding meal breaks.
